Sample Letter of Invitation/Offer from WKU Department

WKU hosting department must issue a letter of invitation or offer to the prospective scholar indicating the financial commitment and the start and end dates of the proposed employment. If there will be no financial commitment from WKU, a letter of offer should still be issued offering the position and indicating the information listed above. On behalf of the Department of _______________________, I would like to invite you to our campus as a visiting scholar for the academic year 20__-20__. Your appointment will begin on month _____ day____, year 20__ and extend through month______ day ____, 20__. During the appointment, you may audit classes, have access to the library and other relevant faculty resources of the University, work in collaboration with faculty members to do research and participate in (job description, if available)                                                 . We want to provide the support needed for both your research as well as your classes/studies. We also will provide an opportunity to work on a collaborative project of your interest with one or more of our faculty/staff if you have an interest in doing so.                       

Additionally, your WKU host department will assist you to secure housing within reasonable distance to campus. University guest house may be available with an estimated cost of $400 per month, therefore, you must submit a letter of financial support indicating that you have sufficient funds for the amount of U.S. $1,500 per month for the duration of your stay at WKU. Additionally, WKU will provide you with free access to a computer, internet and library services.

As a condition of the J-1 visa, you are required to have medical/health insurance for the period of your appointment, starting with the first day of the program. Dependents traveling with you (spouse and/or children) must also carry health insurance. You will be required to purchase the WKU-contracted health insurance policy upon your arrival to the States with an estimated cost of U.S. $1,300 per a calendar year for the visiting scholar (additional costs if you should bring dependents). This is a very excellent insurance coverage plan and one that will give you a sense of well-being relative to your coverage. Therefore, it is very important that you do not purchase a health insurance plan from your home country prior to your coming to the U.S.
