About Acquisitions/Collection Services
The selection of materials to meet current and future needs of Western Kentucky University's faculty, staff, and students as well as the local citizenry is a critical service element in the Libraries' mission and is the very core of collection development. The specific curricular and disciplinary priorities for selecting and acquiring materials are set forth in Western Kentucky University Libraries Collection Development Policy that was adopted in Fall 1992 and was completely revised on 12/11/12.
The Collection Development Program is coordinated by Jack Montgomery, Collection Services Coordinator.
You may download a PDF copy of the Collection Development Policy or get it from Departmental library representatives and liaison librarians. It is also available for perusal in the Reference Center of the library as well.
The Electronic and Continuing Resources Committee (ECRC) reviews and evaluates all proposals for continuing subscriptions (databases, journals, e-journals, e-books, etc.), regardless of whether they are in electronic or print format. Please see the ECRC page and use ECRC Request Form to request new print or electronic subscriptions. For more information, please contact John Gottfried, the ECRC Chair.
Library Resources Form for New Course Proposals
The Library Resources Form (in Word format) must be included in all new course proposals. The University Curriculum Committee approved a new form in April 2008.
In recognition of the ongoing need to protect books purchased by the library and to make them attractive to patrons by leaving the dust jackets attached, the Departments of Library Technical and Public Services have collaborated on and purchased a book cover system called COLIBRI. This system uses special transparent covers that are fitted and then secured in place with heat and resemble traditional book covers. The Acquisitions staff currently applies the covers to selected books as a part of the regular processing.

The WKU Libraries encourages gifts of materials useful to studies and research by students and faculty. Gifts received by the Acquisitions/Collection Services Unit are reviewed by the public service library faculty liaisons. Gifts may be accepted for the library collections, returned to the donor or surplused to various charitable agencies. Gift plates with the name of the donor are often placed in the gifts added to the library collections and a letter of acknowledgment is sent to the donor. As an interested party in the transaction, the library cannot legally appraise or assign a value to a donation for future tax purposes. The donor may supply documentation as to the value of the materials donated and assign any value to their donation they feel to be correct.
Please see the WKU Libraries Gift Policy and Procedures for more detailed information.
Out of Print Requests
Requests for out-of-print titles submitted to the Acquisitions Unit are searched against several of the online databases such as BIBLIOFIND and MX-BOOKFINDER. If found, and the price and condition are acceptable to the selector, the book is ordered. Those titles not located online are placed on a search-and-quote list with several well-known out-of-print dealers until a copy of the title is located and the price and condition accepted.
