Managed Print Services
Managed Print Services (MPS) is a program provided by WKU’s Information Technology Services (ITS) offering a comprehensive solution for managing print costs, equipment, orders, service, and sustainability initiatives at WKU. MPS is an enterprise-wide initiative supported by university administration and the goal is to have full participation on campus.

About MPS
MPS includes equipment, supplies (excluding paper), preventative maintenance, parts and repair, software, installation and training. ITS will collaborate with departments to determine the appropriate equipment for specified use cases. If changes occur within a department, ITS will consult with the department to re-evaluate their needs and make appropriate adjustments.
MPS formalizes best practices to ensure that the following efficiency goals are met.
- Improve the availability, reliability, and service of our printing and copying technology.
- Reduce print output expenses by using the most cost-effective print/copy/scan devices.
- Improve quality of service while reducing the maintenance expenses of the University’s print/copy devices.
- Reduce environmental impacts by reducing paper usage, energy consumption, and landfill waste typically associated with toner cartridges and unmanaged printing practices.
Costs of MPS
The financial model is based on three points.
- Hardware
- Labor
- Usage
WKU ITS owns all devices under the MPS program. Departments incur charges for each device, determined by its tier classification, which takes into account factors like functionality and speed. These fees are assessed to ensure readiness for future maintenance and device replacement.
Departments incur charges for WKU to retain an on-site technician responsible for the maintenance of all devices within the MPS program. These fees are divided equally among the devices enrolled in the program.
Departments are billed a cost-per-impression (CPI) fee based on the volume of usage on the MPS device, with distinct rates for monochrome and color printing.
Departments will be responsible for charges due to damaged or lost equipment.
