Student Conference Travel Funding Guidelines

Students in the College of Education and Behavioral Sciences (CEBS) who are presenting the results of their research, creative work, or scholarship at a regional, national, or international conference may request financial support from the CEBS Dean’s Office to defray the cost of conference attendance. Students are also expected to seek travel funding from other appropriate sources to support their travel expenses (e.g., their academic departments, the Honors College, Gatton Academy, the Graduate School).

The CEBS Dean’s Office will provide funding for travel and conference registration costs for student conference presenters as follows: up to $250 for local, regional, and virtual conferences, up to $500 for national conferences, and up to $1000 for international conferences. To apply for conference travel funds, the student’s faculty mentor must complete the CEBS Student Travel Funding Request and provide documentation of conference proposal submission. Student Travel Funding Requests should be submitted at least 45 days prior to travel and must specify the date by which funds will be spent.

Documentation of conference proposal acceptance is required before the release of funds. Students may use their travel awards prior to traveling to pay for registration fees, lodging, and other travel expenses consistent with WKU travel policies. If the student’s travel expenses exceed the amount of the CEBS Student Travel Award, the student should consult with their home department before any purchases are made.

Student travel funding recipients must be in good standing with the university and may receive CEBS student travel awards only once per academic year. Student travel award recipients are strongly encouraged to participate in CEBS and WKU student research events (e.g., CEBS Student Poster Session, WKU Student Scholar Showcase).

Steps for requesting student conference travel funding from the CEBS Dean’s Office:

  1. The student’s faculty mentor completes the CEBS Student Travel Funding Request.
  2. Within 30 days of submission of the CEBS Student Travel Funding Request, the CEBS Dean’s Office notifies the student, the faculty mentor, and the student’s home department of the application decision and amount of funds awarded.
  3. Prior to the student’s travel, the student works with their faculty mentor to submit the WKU CEBS Travel Support Request to the student’s home department.
  4. The student’s home department works with the CEBS Dean’s Office to use the awarded CEBS Student Travel funds.
  5. The student provides documentation of conference attendance and any outstanding receipts to their home department within two weeks of their return from the conference.

NOTE: Faculty who are mentoring 5 or more students requesting funding for the same conference should contact the CEBS Dean’s Office prior to their students’ Travel Funding Request submissions.
