Resolution
Students
- Complete these steps to update your preferred or legal name.
Note: Students with long email addresses because of their long name can send requests up to have their emails shortened without going through the Registrar's Office. - After this has been processed, please contact the ITS Service Desk or submit a request by clicking the Request Service button to have the email address changed.
Faculty/Staff/Retired
- Complete these steps to update your preferred or legal name.
- After this has been processed, please contact the ITS Service Desk or submit a request by clicking the Request Service button to have the email address changed.
Note: Exchange Display Names are updated automatically when a person’s information is updated in Banner.
Alumni
- Submit the name change or preferred name to Alumni Relations at 270-745-6921.
- After this has been processed, contact the ITS Service Desk or submit a request by clicking the Request Service button to have the email address changed.

When I leave employment at WKU, do I get to keep my email address?

Resolution
Retirees
For WKU retirees, contact Human Resources and verify Banner will say Retired. If so, your @wku.edu address will remain active. However, you will need to access the account periodically (at least once every six months) to keep it active.
Separation of Employment / Termination
Though under no binding obligation, voluntary separation of employment situations typically have email access deactivated 30 days after termination in Banner. At any point thereafter, the address is eligible for deletion. Though it is recommended that all non-business correspondence be kept separate from your WKU email account, you must migrate any such communications to a personal account prior to deactivation. Once the account is deleted, people attempting to send an email to your @wku.edu address will receive an automatic reply that the address cannot be found.
Temporary or Seasonal
If the position is a temporary or seasonal and there will be a time period where you have a break in employment with WKU you will have to contact Human Resources at 270-745-5360 to get your status set as something other than terminated during that time period.

- Enter your last name, birth date, and last 4 digits of your Social Security Number.
Note: If you do not have a Social Security Number, you may try to use the last 4 digits of your WKUID. - Click Next.
- If a security question and answer have already been set up, you will be prompted to enter the answer. If a security question has not been setup, you will be prompted to create one.
- Click Submit Security Answer.
- Your email address will be displayed.

- Enter a new password.
- Click Change Password.

How do I install Microsoft 365 on my device?

Resolution
WKU Faculty, Staff, and Students can download and install Microsoft 365 Pro Plus free of charge and may install the software on up to five devices/computers. Microsoft 365 is provided through WKU's enterprise licensing agreement with Microsoft. Based on Microsoft’s licensing requirements, it is not offered to past students who have graduated or leave WKU. Microsoft 365 Pro Plus offers you the most recent version of the Microsoft Office Suite.
Microsoft 365 Pro Plus includes the following list of applications: Word, Excel, PowerPoint, Outlook, OneNote, Access, and Publisher.
- Tap Play Store.
- Tap Search bar.
- Search Microsoft 365.
- Tap Install for Microsoft 365 (Office).
- Tap Open.
- If prompted about Privacy or Terms of Use, tap through prompts.
- Tap Sign in with email or phone.
- Fill in WKU email address.
- Tap Next.
- If prompted, tap Work or School account.
- Fill in your NetID password.
- Complete Duo (Faculty/Staff) or Microsoft multi-factor authentication (Student).
- To access Word, PowerPoint, or Excel, tap Create.
- Tap app of your choice beneath Start creating with.
- To access other 365 applications, tap Apps.
iPad Instructions
- Tap App Store.
- Tap Search.
- Type in Search field for Microsoft 365.
- Tap Get for Microsoft 365 (Office).
- Tap Install.
- If prompted, type in Apple ID password and tap OK.
- Tap Open.
- Tap Existing Microsoft 365 Users? Sign In.
- Tap text box and type in WKU email address.
- Tap Next.
- Type Password.
- Tap Sign In.
- Tap Continue.
- Approve Multi-factor Authentication if prompted.
- Tap Turn On or Not Now for Notifications.
- Tap Create and Edit Documents.
iPhone Instructions
- Tap App Store.
- Tap Search.
- Type in Search field for Microsoft 365.
- Tap Get for Microsoft 365 (Office).
- Double-Click right side button to confirm install.
- If prompted type in Apple ID password and click OK.
- Allow Face ID scan if using Apple Face ID.
- Tap Sign In.
- Tap text box and type in WKU email address.
- Tap Next.
- Type Password.
- Approve Multi-Factor Authentication if prompted.
- Tap Sign In.
- Tap Turn On or Not Now for Notifications.
- Tap Create and Edit Documents.
- Navigate to Office.
- Click Sign in.
- Fill in WKU email address and NetID password.
- If prompted, complete Duo (Faculty/Staff) or Microsoft multi-factor authentication (Student).
- Microsoft 365 applications will appear on left pane. Click an application's icon to open web version.
- Navigate to Office.
- Click Sign in.
- Fill in WKU email address and NetID password.
- If prompted, complete Duo (Faculty/Staff) or Microsoft multi-factor authentication (Student).
- Click Install and more.
- Select Install Microsoft 365 apps.
- Click Install Office.
- A file named Microsoft_356_and_Office[...].pkg will download.
- Open file and follow prompts to install.
- Navigate to Office.
- Click Sign in.
- Fill in WKU email address and NetID password.
- If prompted, complete Duo (Faculty/Staff) or Microsoft multi-factor authentication (Student).
- Click Install and more.
- Select Install Microsoft 365 apps.
- Click Install Office.
- A file named OfficeSetup.exe will download.
- Open file and follow prompts to install.

What should I do if my personal information (such as the spelling of my name, date of birth, Social Security Number, etc.) is incorrect according to WKU's records?

Your information within WKU's record system is incorrect.

Students
This request must be submitted in writing. Students should email admission@wku.edu with the information that needs to be updated. For more information, contact Admissions at 270-745-2551.
Gatton Academy Students
Gatton Academy students should contact the Gatton Academy Office at 270-745-6565 to request an update/change.
Faculty/Staff/Retired
Faculty, Staff, and Retirees should contact Human Resources at 270-745-5360 to request an update/change.
Alumni
Alumni should contact the Alumni Association at 270-745-2586 to request an update/change.

What is the difference between account types at WKU?
Resolution
NetID
Note: NetIDs are created once a user has a WKU ID.
The NetID is used for logging into Active Directory, Blackboard, TopNet, myWKU and may other various WKU Systems. It is accompanied by a NetID Password which is separate from all other accounts at WKU.
WKUID
Note: WKUIDs are created for students once their application has been reviewed by the Admissions office. WKUIDs are created for employees and affiliates once Human Resources has created an entry in Banner for the person.
The WKUID is normally used for logging into TopNet and has it's own six digit WKU ID PIN. It may also be used for logging into an admissions application for a student that has already been accepted to WKU.
TopperMail
Note: TopperMail accounts are created once a student is admitted to WKU.
The TopperMail Address is used for accessing student email. New TopperMail accounts are generally formatted as follows: first.last123@topper.wku.edu. The password for this account is synced with your NetID Password.

Resolution
Your WKU accounts will automatically generate once your joint enrollment application has been processed by WKU. You can check your WKU accounts on our Manage Accounts page. If you cannot login to the Manage Accounts page please contact Joint Admissions.

Resolution
Best Practices When Choosing a New Password: Use at least 12 characters. Include a mix of uppercase letters, lowercase letters, numbers, and special characters (e.g., !, @, #, $). Do not reuse passwords from other accounts.
