WKU Records Management - Destroying Records

Records with a disposition of "destroy" may be destroyed in the office of origin after the prescribed number of years or a set of conditions has been met. A Records Destruction Reporting Form should be filed with the WKU Records Officer BEFORE the destruction takes place. This form acts as a safety measure so that no records are destroyed ahead of schedule. Neither should records be destroyed while a unit is being audited. The form also provides proof that the unit is complying with the General Records Schedule and shows what records have been destroyed. Records should not be destroyed without approval from the WKU Records Officer.

Please check the records that you want to destroy against the Kentucky State University Model Schedule in order to fill in the form. Contact the WKU Records Officer if you can not find the type of records you are destroying on the schedule. No unscheduled records should be destroyed. The form is constructed to allow reporting of up to four series at one time. Please make sure that for each series reported the entire section is filled in.

WKU Recycling does not shred paper.

Contact WKU Purchasing Office for more information regarding vendors who shred confidential records.

A list of the permanent records which should be sent to WKU Archives in the Kentucky Building is available online.
