Summer Conference Housing


Are you interested in hosting your summer conference at WKU?

Our residence halls are a great space for your summer conference guests to stay.

 

We welcome educational, professional, or religious organizations, as well as youth groups and sports clinics. Whatever kind of group you may want to host, we have a space for you!

Summer conferences can be hosted in the residence halls anytime between June 1 through July 31. Short and long-term groups can be accommodated.

Each double occupancy conference hall bedroom contains two of the following:

  • XL Twin Bed (80"x36")
  • Chest of Drawers
  • Desks
  • Desk Chairs
  • Closets/Wardrobes
  • Trash Cans

All residence halls are air conditioned.

Linens, pillows, and refrigerators are not provided by the University. Participants are asked to bring their own linens, pillows, and blankets. The group organizers are responsible for providing any emergency supplies.

 


At this time, Housing & Residence Life does not have meeting space available in the summer conference residence halls. There are two conference rooms available for rent in the HRL central office, located in Southwest Hall. Please contact Randall Farris at (270) 745-2090 for rates and availability. 

Reserving WKU Buildings & Areas

WKU Campus and Community Events coordinates all University functions except bedroom rentals for summer conferences.

Three types of room accommodations are available in the residence halls for summer conferences and are available on a first come, first serve basis and are subject to date, time, and size of group restrictions. 

  • Community Style: Each floor shares a bathroom with private, locking stalls.

  • Suite Style: Two rooms share a Jack and Jill style bathroom.

  • Hotel Style: Each room has a private bathroom.

Please read the Terms and Conditions and print a copy of the Conference Agreement.

Return the completed agreement to the address listed. A confirmation of the reservation will be sent upon receipt and approval of the Agreement by WKU Housing & Residence Life.

An invoice/inter-account will be sent to the organizing person for all housing charges after the group checks out of the residence hall.

Individuals cannot be billed for keys, damages, or rental charges. The group's invoice will reflect all charges.

 

Grant Funded Groups

If your group is grant funded, an invoice/inter-account will be sent upon checkout to the organizing group. Special billing requests must be received in writing before the group checks into the halls.

WKU Restaurant Group

 


Coordinators planning conferences, short courses, workshops or meetings may request visitor parking passes for their guests in advance of planned visits.

Contact the WKU Department of Parking and Transportationat (270) 745-2361 ten (10) days in advance of your event to make parking arrangements for your group.

 


WKU follows CDC guidelines for individuals testing positive for COVID-19 and/or for individuals exposed/contact traced and advised to quarantine or isolate. Please see the latest CDC guidelines here: https://www.cdc.gov/coronavirus/2019-ncov/your-health/quarantine-isolation.html

If any member of a camp/group (participant, staff, or leader) staying in WKU residence halls, should have the need to isolate or quarantine due to COVID-19 infection or exposure, WKU Housing will not provide quarantine space.    

Group leaders are expected to notify WKU Housing staff of the situation immediately. The group leader is responsible for ensuring the CDC guidelines are met (verifying vaccination/booster status, etc.) and if isolation/quarantine is required ensuring:

  1. Camp participant(s) return home, or

  2. Camp participant(s) are relocated to an off campus setting (hotel, etc.) at the camp’s expense (WKU Housing is not responsible for additional cost)
