5th Week Check-In


5th Week Check-In is an early alert system for all students enrolled in 100-level, 200-level, and writing in the discipline courses at WKU. During the 5th Week of the semester, faculty teaching these courses enter grades (either Passing or D/F) and attendance. Students can view their official reports on TopNet. Students are encouraged to check in after their report is ready with their advisors, instructors, and residence life staff regarding academics, finances, and any other concerns. Faculty and staff can track their follow-up conversations regarding 5th Week in TopNet.

Spring 2025

5th Week entry will be available for faculty beginning 8:00 a.m. Friday, February 14, 2025 through 4:00 p.m. Monday, February 24, 2025. TopNet and Infoview reports will be ready beginning on Tuesday, February 25, 2025.

 

5th Week Check-In TopNet Access:

  • 8:00 a.m. Friday, February 14, 2025 through 4:00 p.m. Monday, February 24, 2025

 Due Date:

  • 4:00 p.m. Monday, February 24, 2025

Instructions for Submitting the 5th Week Check-In

  1. Go to https://topnet.wku.edu.
  2. Login to TopNet.
  3. Click Continue at bottom of bulletin board.
  4. Click Faculty Services, then click 5th Week Check-In.
  5. Select term Spring 2025; Click Submit.
  6. ONLY your 100-level, 200-level, or Writing in the Discipline courses will be listed in the drop-down box. Select CRN.
  7. Submit the CRN. The 5th Week Check-In will appear with ALL students on your roster. 5th week includes ALL students enrolled in 5th week eligible courses.
  8. Go to Grade column. You may click the drop-down box for each student. Select “PASS” for students who are currently earning an “A,” “B,” or “C” in your course.For students who are currently earning a “D” or “F,” select “D/F.”  Please note: For students who are passing, you may leave their grade as “None," which will default to "PASS" upon clicking submit. This way you only need to use the drop-down box for the students who are currently earning a D/F.
  9. Go to the Excessive Absences column. Please note: All students will default to “No”, so you only need to select “Excessive Absences” for students with excessive absences.
  10. After entering a grade and absence indicator for the necessary students on this roll, click Submit. The form will reappear stating that “Your 5th Week Check-In Updates have been submitted!”
  11. You should review the grade and absence indicators entered for each student. If a change needs to be made, you may make the change until 4:00 p.m. Monday, February 24, 2025. Enter the correct information, then click Submit.

Advisors can view individual student reports via TopNet by following this path:

  • Enter the Student ID of an advisee for access to their report
  • View 5th Week Check-In Report

Advisors can view a complete list of their advisees via InfoView by following this path:

  • Folders
  • Public Folders
  • WKU Campus Community
  • 5th Week Check-In
  • Right click the report named: ADVISOR – Advisee List of 5th Week Check-In Results
  • Schedule
  • Report Features
  • Prompts
    • Term Code: 202510, click ok
    • Enter Advisor WKU ID, click ok
  • Click Schedule
  • Click the refresh icon until the status changes from "Running" to "Success"
  • Click the date of your report to display your advisees

Instructors can view reports for students on their course roster(s) via InfoView by following this path:

  • Folders
  • Public Folders
  • WKU Campus Community
  • 5th Week Check-In
  • Right click the report named: INSTRUCTOR – 5th Week Check-In List
  • Schedule
  • Report Features
  • Prompts
    • Term Code: 202510, click ok
    • Enter Instructor ID, click ok
  • Click Schedule
  • Click the refresh icon until the status changes from "Running" to "Success"
  • Click the date of your report to display your roster(s)

To view an InfoView report for all courses in a department, follow this path:

  • Folders
  • Public Folders
  • WKU Campus Community
  • 5th Week Check-In
  • Right click the report named: DEPT – 5th Week Check-In Course/Student Grades By Dept
  • Schedule
  • Report Features
  • Prompts
    • Term Code: 202510, click ok
    • Enter department abbreviation, click ok
  • Click Schedule
  • Click the refresh icon until the status changes from "Running" to "Success"
  • Click the date of your report to display your department
  • Instructors can view the total number of marks each student on their roster(s) has received for the semester under Faculty Services on TopNet.
  • Advisors can view the total number of marks received by their advisees on the Advisees Eligible to Register screen on TopNet.
  • The 5th Week Follow-up Comments have changed to reflect a comprehensive approach to checking in with students. Feel free to use the overall comments to guide your conversations with students.
    • Comments can be added for individual courses and/or overall follow-up.
    • The alert buttons are still in place if:
      • You are concerned a student is at serious risk of leaving WKU and requires additional intervention;
      • You are unable to locate a student and concerned they are not attending WKU;
      • The student needs to be connected to another office at WKU for immediate outreach.
    • If you use an alert, you must include a detailed comment.
  • All comments are protected under FERPA, so please keep the comments appropriate.
