Requesting Events Using Astra

In Non-Academic Space

Please contact the Campus and Community Event Office at 270.745.2497. They can help you schedule Chandler Memorial Chapel, Faculty House, Kentucky Building, Off Campus Spaces, Outdoor Spaces, and Van Meter Hall.

 

In Academic Space

Everyone thathas a WKU Net Id and Password has access to Astra. Please use the following link to access Astra:  https://wku.edu/astra

1. Once your logged in click on "Events" across the top toolbar and a sub menu comes up then select events again.
2. When Requesting/Scheduling events in Astra always use the "+ Add Event Tool" - Don't use the "Event Request" link.
3. Click the + Add button (which is the Quick Event tool) in the top toolbar. Once the "Quick Event" opens fill out all of the following information on "Event Time/Dates", "Event Name", "Event Type", Pick your "Location", Select from the drop down list or Type in the box to select your "Customer/Contact", you can add additional contacts if needed.
4. When you have everything selected you can hit "Save and Send Notification" or just click "Save". If you select "Save and Send Notification" Astra will send you an incomplete confirmation just for reference so you have something saying you entered the event and are now waiting on full confirmation. If you click "Save" you won't get a notification until its been scheduled.
5. At this point Astra will send an email to the person responisible for the room to approve/decline the room. Once the scheduler approves/denines you'll receive an email confirmation saying it's been scheduled, or declined.
6. If declined you can go back into Astra, search for the event, and select a new room and start the process over again.
