General Questions

If I am graduating in May/December, can I finish one class over the summer/winter?

If your graduation date is in May but you have one class left to finish, you can still “graduate” and walk the line in May as long as you finish the course in May term. If you finish your course work over the summer term—by August 31—your official graduation date will be in August.

If your graduation date is in December but you still have one class left to complete, you can still walk the line in December. You will be required to finish your course over the winter term, and your official graduation date will be in May. 

When do I apply for graduation?

All students must apply for graduation with the Office of the Registrar after taking 90 credit hours. An online application can be found at the Registrar's Office website.

Where do I go to meet with a counselor?

If you feel that you need to talk to someone, please visit the WKU Counseling and Testing Center at Potter Hall 409, or call 270-745-3159.

The people at The Counseling and Testing Center believe that the university experience should be challenging, not overwhelming, and universities have a duty to support students as they are being challenged. Where do I go for tutoring?

Student Success Tutoring Center

The Gordon Ford College of Business provides its students free peer tutoring for select courses to ensure academic success. The Learning Center

The Learning Center (TLC) in  DSU 2141 offers CRLA Certified, one-on-one tutoring in over 100 general education subjects for all currently enrolled WKU students. TLC is a quiet study area, with side rooms designated for peer tutoring, and offers a thirty-two machine computer lab. Students may make an appointment for tutoring, or may walk-in for assistance.

If I change my name, does my email account change?

If you change your name—whether for personal choice or because you married—the name on your WKU email account does not change.

For example:

-your name was Mary Smith and your WKU email was <mary.smith123@wku.edu>

-you change your name to Mary Jones

-your email account will still be <mary.smith123@wku.edu>

How do I change my personal information in TopNet?

To update WKU’s record of your personal information (your name, address, emergency contacts, etc.)

Login to TopNet.

Click Personal Information.

Choose the link appropriate for the information you want to update.

Ex: Click View/Update Address(es) and Phone(s) to update your address or phone numbers.

Update your personal information.

Click Submit.

How do I transfer credits from another university?

To transfer credits from another university, an official transcript is typically sent from one institution to another in a sealed envelope for the receiving institution to open upon arrival.  Mail official transcripts to:

  Upon receipt of your application and official transcripts, an evaluation of transfer credits will be provided. You may view your unofficial WKU transfer on TopNet at http://topnet.wku.edu/ approximately 3 weeks after we receive all official documentation.

Departmental Examinations

Students enrolled at WKU may also receive credit on the basis of departmental examinations. Scores earned on departmental exams may only be used for credit at WKU.

A student may take a departmental examination in any course listed as satisfying a requirement in any of the categories of general education. Departments may offer departmental exams in other courses at their discretion.

To be eligible to take a departmental proficiency examination, a student must be fully matriculated, in good standing, and regularly enrolled at WKU. Credits earned in this manner will be recorded on the student’s official transcript but will not be considered as a part of the normal semester load in the term in which the examination is taken. A student may not register for a departmental examination for a course while he or she is enrolled in that course. A student may not take a departmental proficiency examination in a course which has been previously taken at WKU or at another accredited institution.

A student desiring to take a departmental examination must complete an appropriate request form in the Office of the Registrar. A fee of $25 per credit hour must be paid at the time the form is submitted. The form must be submitted to the Registrar prior to the end of the third week of classes in either the fall or spring semesters. The Registrar will notify the appropriate department of the student’s request. The department will administer the proficiency examination during the seventh week of classes. The student must obtain the specific time and place for testing from the department head.

After testing has been completed, the department head will notify the Registrar in writing as to whether or not the student demonstrated acceptable proficiency. If the department recommends that credit be granted, the semester hours earned will be recorded on the official transcript. However, the credit will not be used in computing the grade point average since letter grades will not be assigned.  

The CLEP Program

The CLEP examinations may be taken each month at any national testing center, including the testing center at WKU. Scores earned on CLEP exams may be used for credit at any college in the United States.

Students applying to WKU should have their scores sent to the Office of Admissions. Students currently enrolled at WKU should request that their scores be sent to the Office of the Registrar. To have your scores sent to WKU, use the code number CLEP-1901. The appropriate office will then notify students who qualify for academic credit through the CLEP exams.  

ACT or SAT Credit  

Students with an English ACT score of 29 or above or a verbal section of the re-centered SAT score of 650 or  above will receive three non-residence credit hours for English 100 at WKU. Official ACT or SAT scores should be sent by the testing company to the Office of Admissions as part of the WKU admissions process. To have your ACT scores sent to WKU, use the code number ACT-1562. To have your SAT scores sent to WKU, use the code number SAT-1901.

Students may earn college credit through the AP program by obtaining the minimum score on the AP exam while in high school. Students will be notified of their eligibility for WKU credit by the Office of the Registrar after WKU has received an application for admission and the official AP score report. Can I test out of a course?

Students can earn college credit for courses through the Advanced Placement Program (AP), the American College Testing Program (ACT), the Scholastic Assessment Test (SAT), the College Level Examination Program (CLEP), and departmental examinations developed by WKU departmental faculty committees.

The credit hours earned through these examinations will count toward graduation, but will not be factored into GPA calculations since a letter grade will not be assigned. 

Do I have to transfer all of my credits from a previous university?

Yes, all credits you have received from previous institutions must be transferred to WKU.

Will a grade of a D transfer?

Acceptance of transfer credits for a particular major, minor or certificate is subject to approval by the appropriate academic department including grade of “D”.

WKU accepts transfer grades, and those grades will be recorded onto the WKU transcript and computed into the student’s overall GPA.  Transfer work submitted will be equated to our internal scale and denoted as such on your record.  Some academic departments require a minimum grade of “C” in each course applicable toward a major.  Refer to the departmental descriptions in the Undergraduate Catalog or contact the department head to determine the specific requirements for each major.  Credit for a course in which a failing grade has been received can be earned only by repeating the course in residence unless prior written approval is granted by the head of the department in which the course is offered.

How will my classes transfer?

To find out how your classes will transfer to WKU

  1. Go to the http://www.wku.edu/transfer/transferhow.php
  2. Click ”View Transfer Credit Equivalencies”
  3.  
  4. Choose a transfer school from the drop-box and click Submit (Ex.: Abilene Christian University—Abilene, TX)
  5. Choose a course/subject from the drop-box and click Submit
  6. Scroll down until you locate the course you are trying to transfer and its equivalency

What is the difference between academic probation, warning, and dismissal?

How many hours should I take each semester?

All WKU students must earn a minimum 120 credit hours (100- to 400-level) to earn a bachelors degree. How many hours students should take each semester depends on several things:

Do you work? If so, how many hours per week?

Do you have home/family obligations that prevent you from spending the recommended study time?

The rule-of-thumb standard for study time relates to credit hours. For each one hour of credit students can earn for a class, they should study for two hours. That means if a class is worth three credit hours, students should spend six hours each week studying. WOW! If you have 18 credit hours, you should study 54 hours for the best understanding and grades!!!

Do you plan to finish in exactly four years? Based on 120 hours required, if you have no retakes, and had no developmental courses, you could finish in four years by:

  1. taking 18 hours for two semesters
  2. taking 14-16 for the other six semesters

How do I change my advisor?

To change your advisor:

  1. Login to TopNet
  2. Click Student Services
  3. Click Student Records
  4. Click Change Major, Minor, Concentration, Advisor
  5. In the “Advisor” drop-box, choose “Yes, I wish to change my advisor” and click Submit
  6. Review your change and click Submit Changes
  7. Click Print Official Form and bring the form to Grise Hall 449 for submission 

How do I add/drop a major/minor?

To add/drop a major/minor:

  1. Login to TopNet
  2. Click Student Services
  3. Click Student Records
  4. Click Change Major, Minor, Concentration, Advisor
  5. Choose the major/minor you wish to add/drop from the drop box and click Submit (some majors will require you to declare a concentration or a minor as well as a major)
  6. Review your change and click Submit Changes
  7. Click Print Official Form and bring the form to Grise Hall 449 for submission 

Can I be advised on an extended campus?

If you are taking classes through an extended campus (Elizabethtown, Glasgow, or Owensboro), you can either be advised by one of the advisors on the main campus or by an advisor at the extended campus location.

Do I have to meet with my advisor to register for summer or winter classes?

No, you can register for summer or winter classes without meeting with your advisor. Register on TopNet like you would for any other class.

If you have questions about which classes you should take, please schedule an appointment with your advisor, or send an email that includes your questions and SID. Keep in mind that it may take several days to receive a response to an email. 

How do I schedule an appointment with my advisor?

To make an appointment with your advisor:

You can schedule an advising appointment online through your TopNet account (Student Services, Registration, Schedule an Advising Appointment, Schedule an Appointment) or stop by the Undergraduate Academic Advising and Student Services Office in Grise Hall 449 to use the kiosk to schedule an appointment.  If you are not a current WKU student, then you can contact the office at (270) 745-3290.When do I need to see my advisor?

You may contact your advisor with questions at any time.

All WKU students must be advised each semester (spring and fall) until graduation. All students must meet with their advisor prior to registration in order to have their registration hold lifted.

Registration Questions

What does it mean if one of my grades is an X?

 A grade of “X” (incomplete) is given only when a relatively small amount of work is not completed because of illness or other reason satisfactory to the instructor. A grade of “X” received by an undergraduate student will automatically become an “F” unless removed within twelve weeks of the next full term (summer term excluded.) An incomplete must be removed within this twelve-week period regardless of whether the student is registered for additional work in the next term. 

How do I find my final grades?

To find your final grades for the semester

  1. Login to TopNet.
  2. Click Student Services.
  3. Click Student Records.
  4. Click Final Grades.
  5. Choose the correct term from the drop box and click Display Grades.

How do I retake a class?

If you do poorly in a class, you have the option of retaking the course in a later semester. The retake will not make the bad grade disappear from your transcript, but the new grade will replace the old grade in your GPA calculations.

At WKU:

  • You can take up to six classes with grade replacement.
  • You may only retake a course three times.
  • The grade will only be replaced once.
  • The third attempt grade is averaged with the previous two attempts.

How do I get permission to exceed the maximum number of credits?

For undergraduate students, 12 hours constitutes the minimum full-time course load. Students who wish to enroll for 20-21 semester hours must have a cumulative g.p.a. of 3.3 or above. To receive permission to exceed the maximum number of credit hours, contact your Academic Advisor or the Office of the Registrar at Potter Hall 216 for a course overload approval form and information. 

WKU cancelled my class. What do I do?

If the university cancels a class you have registered for, you will receive a letter or email from the Office of the Registrar. The letter or email will contain the CRN, course number, and reason for the course cancellation.

 You do not need to drop the course on TopNet. Once the course is officially cancelled in the student information system, the Office of the Registrar will drop the course from your schedule. If you desire to replace this course, you should process the registration prior to the deadline printed in the Academic Calender in the Registration Guide.

How do I view my schedule for the term?

To view your schedule for the upcoming term

  1. Login to TopNet.
  2. Click Student Services.
  3. Click Registration.
  4. Click View Student Summary Schedule
  5. Select the term you wish to view (Ex.: Fall 2015).

What Math class can I take?

Students in undergraduate programs at WKU are required to complete a Mathematics course for General Education or major requirements. The level of Math class you are allowed to take is determined by your Math ACT score and by your WKU Math Placement Exam (MPE) score.

 *To learn your ACT or MPE score

  1. Login to TopNet.
  2. Click Student Services.
  3. Click Registration.
  4. Click View Test Scores and Eligibility.
  5. View MPE score and date of test taken and test expiration date. (If no MPE score is listed, the score has expired)

 

Also, to see which math class you are eligible for, based upon your ACT and MPE score, go to the Math Dept. Website and compare your scores to the chart provided.

 If you have any questions regarding your test scores or the course you are eligible for, contact your advisor at 270-745-3290, or contact the Math Department at 270-745-3652. 

Do I need to take a developmental course?

WKU offers developmental courses in Reading, English, and Math in order to prep students for the main sections of the class. Eligibility for developmental courses is based upon ACT and Math Placement Exam (MPE) scores.

Reading

If you scored a 18 or lower in your Reading ACT, you must to take DRDG 080C.

If you scored 15 – 19  on your Reading ACT, you must take LTCY 199.

English

If you scored a 16  or below on your English ACT, you must take ENG 055C before you are eligible to enroll in ENG 100.

If you scored a 16 -17 on your English ACT, you must take ENG 100E.

ENG 100E is an enhanced section of ENG 100. It will meet once extra time a week.

ENG 100E is a restricted course. To receive a pass to register for it, call The English Department at 270-745-3046.

Math

If you scored a 21 or lower on your Math ACT AND scored a 10 - 13 on your MPE, you must take MATH 096C before you are eligible to enroll for MATH 116.

If you scored a 22 or higher on your Math  ACT and scored a 14 or higher.

 If the developmental course has a C next to the course number (Ex. ENG 055C), the class is offered at the Community College on South Campus with the exception of DMA 096C (some sections are offered on main campus). To register for these classes, choose the Developmental instead of University department under “Subject” when looking up classes on TopNet.

 Students must make a C or higher in developmental courses in order to be eligible to move up to the main sections of the course.

How do I audit a class?

Auditing a class means that you will be required to show up to class, participate, and complete all assignments, but you will not receive credit for the class.

 If you wish to change a class from credit to audit, all changes must be submitted before the withdrawal date. You can sign up to audit a class without special permission prior to the first day of the term. After that time, the instructor must grant permission for you to audit a class by signing the course audit form. You can obtain this form from your Academic Advisor or the Office of the Registrar.

 If you wish to change a class from audit to credit, all changes must be submitted before the add/drop date. After that time, the instructor must grant permission for you to credit a class by signing the course audit form by completing a “Change of Grade” card and submitting the forms (with required signatures) to the Office of the Registrars in Potter Hall 216.

*The current dates for withdrawal and add/drop can be found on the current term calendar.

 To change a class from credit to audit, or vice versa,

  1. Log in to TopNet.
  2. Click Student Services.
  3. Click Registration.
  4. Click Register/Add/Drop Classes.
  5. Select the current term from the drop box.
  6. Select Audit from the drop box next to the class you wish to audit.
  7. Click Submit Changes.

If it is past the withdrawal date and I need to withdraw from a class, what do I need to do?

Students are expected to adhere to the withdrawal deadlines. If you believe your situation would justify an exception to the withdrawal policy, obtain a Schedule Exception Appeal Form from the Office of the Registrar (Potter Hall 216) or the department offering the course and complete this form according to the directions on the form. 

What is the difference between dropping a class and withdrawing?

If you drop a class before classes start, or before the add/drop date (contact your advisor or the Office of the Registrar to find the add/drop date for the current term) the class:

  • disappears from your schedule
  • is not placed on your transcript
  • your seat in the class opens up for another student

However, if you do not drop the class before the add/drop date, you can still withdraw from the classYou must withdraw before the withdrawal date, which can be found on the WKU Term Calendar.

To withdraw from a class:

  1. Login to TopNet.
  2. Click Student Services.
  3. Click Registration.
  4. Click Register/Add/Drop Classes.
  5. Choose “Withdraw” from the drop box beside your class.
  6. Click Submit Changes.

If you withdraw from a class, a W will appear on your transcript for the course, but it will not be factored into your GPA. You will also be charged a $50 withdrawal fee, which you must pay at the Billings and Receivables Office in Potter Hall 200. 

How do I drop a class?

  1. Login to TopNet.
  2. Click Student Services.
  3. Click Registration.
  4. Click Register/Add/Drop Classes.
  5. In the drop box beside your class, choose “Dropped (Web).”
  6. Click Submit Changes.

Why did I receive an error message when I tried to register?

Registration errors occur for several different reasons.

  1. Login to TopNet.
  2. Click Student Services.
  3. Click Registration.
  4. Click Schedule of Classes and “Look Up Classes to Add.”

  6. Click the name of the class (the blue hyperlink) to receive a course description.

CLASS Restriction means that you are trying to register for a class restricted by the number of hours earned.

*CLASS stands for classification and refers to your student standing (i.e. freshman, sophomore, junior, or senior).

I have special permission to register for my class. Am I enrolled?

If the course is not listed on your schedule for the current term, you are not enrolled in the class.

Each department handles course overrides differently; some will register you for the course, while others will just place the override in TopNet and you must register yourself. Contact the department from which you received an exception to check their policies.

To find contact information for the department, check the WKU Campus Directory located on the WKU homepage. 

How do I register for a restricted class?

Any class on TopNet marked with an “R” has been restricted by the department offering the class. Contact the department for the reason the class is restricted and to check their policy on enrolling in restricted courses.

How do I register for a closed class?

Any class on TopNet marked with a “C” has already reached its maximum number of students. Each department has different policies regarding closed classes—some don’t allow anyone in due to the capacity of classroom and departments may use a waiting list to see if anyone drops the class. Contact the department of the class for their policy.

How do I register for classes?

To register for classes

  1. Login to TopNet.
  2. Click Student Services.
  3. Click Registration.
  4. Click Schedule of Classes and “Look Up Classes to Add.”
  5. Select the term for the classes you are searching for (i.e. Fall 2009) and click Submit.
  6. Under “Subject” choose the department of the class you are searching for (i.e. English, Management, Sociology, etc.). If there is more than one choice for a subject, be sure to choose the University option, not Community College.
  • You can search for classes by course number, location, professor, and hour, or you can leave these fields empty and search for all classes in a subject.
  1. Click Class Search.
  2. Scroll through the classes offered for the term and choose a class that will fit into your schedule.
  3. Select the class by checking the far left box.

*Important Registration Notes

  • If there is a C instead of a check box on the far left, it means that the class is closed and there are no more available seats.
  • If there is an R instead of a check box on the far left, it means that the class is restricted to certain students and you must have permission from the department to register for this class.
  • You are only allowed to register for a maximum of 19 hours per semester without special permission and additional fees. 

What is my class standing?

Your class standing—freshman, sophomore, junior, or senior—is determined by the number of credit hours you have completed.

  • Freshman 0-29 hours
  • Sophomore 30-59 hours
  • Junior 60-89 hours
  • Senior 90 hours and above

When can I register for classes?

Registration is based upon class standing (i.e. freshman, sophomore, junior, or senior). The dates for registration change each semester. To find a registration schedule for the upcoming term

  1. Go to the Registrar's website.
  2. Click on the link for the upcoming term (Ex.: Fall 2015).
  3. Scroll to Pg. 4 of the “Registration Guide” to find a schedule.

Does the GFCB have student organizations?

Yes. There are numerous nationally recognized student organizations offered by the Gordon Ford College of Business to complement the student experience. Contact a student organization advisor or visit the organization’s website for additional information at https://www.wku.edu/business/student-organizations.php.

I earned an Associate Degree. Will I be required to take any lower-division course work at WKU?

Students who earn an Associate of Arts or Associate of Science degree from the Kentucky Community and Technical College System (KCTCS) schools will receive credit for general education courses completed. But the KCTCS Associate of Applied Science degrees do not fulfill all general education requirements.

Be sure to check with your advisor to see how some of the courses will transfer.

What are upper-level courses?

Upper-level courses are any 300 or 400-level courses.

 You may only take up to 12-hours of upper-level courses from the GFCB before you have gained admission to the college. 

Can I take a pre-requisite for a course at the same time as the course?

If the class is listed as a pre-requisite, it must be taken before you can enroll in the course.

Ex.: MGT 312 is a pre-requisite for MGT 463. Therefore, it must be taken at least one semester prior to enrollment in MGT 463.

If the class is listed as a co-requisite (or concurrently), it can be taken in the same semester.

Do I have to declare a minor?

If you are receiving a B.S degree from the GFCB, you do not have to declare a minor. But if you choose to pursue a B.A. degree in Economics, a second major or a minor is required.

What are the admission requirements for the college?

 

To be admitted into the GFCB, you must complete 60 credit hours with a minimum overall GPA of 2.5. In addition, you must complete the courses listed below:

  • CIS 141
  • COMM 145/161
  • MATH 116 or higher

Do I have to complete a FASFA?

Student financial information can be located at wku.edu/financialaid.

  • If you wish to receive any type of federal financial aid (student loans, grants, work study, etc.) you must fill out a FASFA form.
  • To fill out a FASFA form, go to studentaid.gov/h/apply-for-aid/fafsa. Deadlines for submission can also be found on this site.

Does the GFCB sponsor any study abroad programs?

Yes, the GFCB sponsors several study abroad programs.

The Gordon Ford College sponsors a variet of global learning opportunities in support of WKU’s vision. These opportunities are open to the entire WKU community and are not limited to students with a program in the Gordon Ford College.

Students may select from several options:  traditional exchange programs, summer exchange programs, faculty led study abroad programs, and intensive language programs.
